Ask founders what frustrated them about past assistants and you hear the same thing again and again. "I never knew what was going on." They handed work over, then spent the week wondering whether it was done.
That's why every Apex VirtualPro client gets a short written update at the end of each working day. It's the most useful thing we do, and it takes about two minutes to read.
What's in it
Every update has the same three parts, in the same order, so you always know where to look.
- Done today. What we finished, with enough detail that you don't need to check. "Proposal sent to the client for sign-off" rather than "worked on proposal".
- Needs your decision. Anything we can't move forward without you, written as a question you can answer in one line. Most days this has one or two items. Some days it's empty, and that's the best kind of day.
- Tomorrow. What we're planning to pick up next, so you can redirect us before we start if your priorities have changed.
Why it works
The update does three jobs at once.
First, it means you never have to chase us. If something slipped, you'll see it in writing, along with what we're doing about it.
Second, it puts your decisions in one place. Instead of ten messages through the day asking for a quick yes or no, you get them together, at a time that suits you.
Third, it builds trust faster than anything else. In the first week, most clients read every line. By the third week, they skim the "Needs your decision" section and get on with their evening. That shift is the point. You stop carrying the list in your head because someone else is carrying it for you.
If you already have an assistant
You don't need to work with us to use this. Ask whoever supports you to send the same three sections every day for two weeks. It costs them ten minutes and it will tell you very quickly whether the arrangement is working.
And if you'd like support that comes with this built in from day one, book a free discovery call. We'll show you exactly what your first update would look like.
